Hyper-automation and RPA

RPA is a technology that enables the deployment of a digital workforce (software robots or “bots”) that can automate repetitive administrative tasks using any enterprise application or IT system in the same way as a user would.

These bots are able to mimic the tasks that a user would do such as connecting to web applications, copying, pasting or renaming files, creating directories and folders, accessing SAP or any other ERP, reading and writing in databases, extracting data from documents, filling in forms, etc…

The aim of RPA is not to replace people but to free them from repetitive, time-consuming tasks of little value so that they can focus on more strategic tasks of greater value to the company.

Benefits

  • Cost reduction.
  • Increased quality and accuracy.
  • Agility and speed.
  • Increased productivity.
  • Improved compliance and safety.
  • Employee and customer satisfaction.

What processes can we automate using RPA?

  • Processes with high volume and FTEs involved.
  • Processes with high frequency, prone to errors or low fault tolerance and with a short execution time.
  • Rule-based, stable and with few exceptions.
  • Supported by several non-integrated applications.
  • Have standard data inputs.

RPA works with existing applications while respecting the existing architecture and technology infrastructure. It does not require any changes to systems as the software robot executes tasks in the same way as a user would.

All you need is a computer or server to install the robot licence and you will have an additional employee who can quickly automate any repetitive, rule-based processes such as customer service, reporting, invoice processing, employee, product or supplier registration.

How do you experience the process automation phase?

Identification and prioritisation of the processes to be robotised

Before addressing any RPA (Robotic Process Automation) project, it is important to identify within the organisation the potential candidate processes to be automated and to define them rigorously and with the maximum level of detail.

To accomplish this, our recommendation is to undertake a process consultancy phase with the aim of discovering, analysing, describing and modelling the processes that could be susceptible to automation using RPA technology.

In this phase, we will identify and prioritise the best candidates for automation based on parameters such as volume, frequency, stability, degree of definition of rules, types of inputs, applications used, complexity and potential cost savings.

This consultancy and analysis phase includes face-to-face meetings with the business process users, differentiating between owners (role that defines and improves the process) and possible executors (role that executes the process routinely) in order to understand them well and identify the following:

  • Overview of the process
  • Mission, inputs and outputs
  • Detailed description of the process including tasks and sub-tasks
  • Executors
  • Frequency of execution
  • Applications supporting the process
  • Complexity based on a number of factors
  • Business case per process estimating the benefits and ROI taking into account the cost of implementing and operating RPA

In some cases, after this phase, we will make certain recommendations to improve the processes prior to their automation with RPA technology in order to achieve greater benefits.

At pfs we have process consultants and functional analysts with extensive experience to help companies to model their processes as a prior step to tackling an RPA project.

Maintenance, monitoring, and support of robotised processes

RPA projects do not end with implementation. The management of support and maintenance is essential so that their performance, availability and level of service are maintained as the applications they support are updated, processes are modified, or the needs of the company change.

Through our Maintenance and Support service, we free our clients from administration, maintenance, monitoring and support tasks, so that their employees can dedicate 100% of their productive capacity to managing the needs of the business.

At pfs, we have a highly qualified team to manage automated production processes with RPA, offering a support service in the event of changes, developments or incidents. Our objective is to guarantee the continuity, availability and quality of automated processes with RPA, reducing operating costs:

  • We ensure that all RPA-automated processes are operational and achieve the expected result, guaranteeing maximum uptime of the automated processes
  • We provide a single point of contact with our RPA Support Service, facilitating the means of coordination or solution to respond to all your requirements
  • We adapt the service to the needs of our clients

RPA governance model consultancy

Anticipating the impact on the organisation of the adoption of RPA technology, defining new roles and responsibilities, and a communication and change management plan, is the key to guaranteeing the success of a project of this type.

While RPA technology is generally business-focused, having the support of the IT department is essential to integrate the technology into the project and manage dependencies.

«For this, the definition of a good governance model is important as it allows to evaluate RPA opportunities, identify risks and prioritise automation projects based on defined demand management criteria».

At pfs, we advise on the RPA roadmap and the definition of the operational and governance model to provide a framework that assigns roles, responsibilities, establishes criteria, productivity metrics and ensures collaboration and communication between the different business units.

Sale of RPA licenses and professional services

Implementing software robots on an enterprise scale, requires knowledge of the components and functionalities of the RPA platform we choose, in order to choose the right parts and get the maximum value from them.
At PFS Tech we are partners of UiPath and other RPA manufacturers, and we advise our clients on the need and use of RPA licenses to address their automation projects and be able to scale appropriately.

Our goal is to maximise the use of RPA licences, so that the maximum number of processes can be executed with them in a secure, reliable and controlled manner.

We also offer professional services of RPA engineers, to define the best architecture for an RPA project, and to be able to choose the most suitable RPA tool taking into account aspects such as:

  • Reliability and security
  • Ease of use
  • Scalability
  • Flexibility
  • Integrations with third parties
  • Governance
  • Community

Development and deployment of RPA

Once the processes in the company that can be automated using RPA have been identified, and the business case for each of them has been defined, we must begin the development and implementation of the process.

In this phase, we must evaluate and select the type of RPA technology that we will adopt, taking into account the type of processes we want to automate, the ease of design and programming of the robot, the implementation effort, and how it will integrate with existing technologies.

The development of the process to be robotised is done in Agile, using two-week sprints to deliver value to the client as soon as possible. In addition, we follow best practices and RPA development frameworks to ensure modularity, security, exception handling and reliability of the robotised process.

  • Use of development frameworks
  • Use of RPA best practices
  • Creation of reusable components
  • Versioned source code
  • Exception control.
  • Integration of third parties tools.
  • Robots with and without state.
  • Logs with process metrics.

At pfs we advise on the choice of the business process to automate as well as on the selection of the RPA technology, the installation of the robot licence, which can be attended or unattended according to needs, and finally, on the programming of the robot and validation of the final result together with the user.
